Administrative Manager Position

The Administrative Manager position will serve as the senior administrative professional responsible for the day-to-day management and coordination of all non-legal functions within the Firm. This includes oversight of operations, administrative HR functions, managing administrative staff, IT, office services, facilities, vendor management, and client experience-related quality assurance. The AM plays a vital role in ensuring the efficiency and consistency of internal processes, and that the business infrastructure supports the delivery of consistently high-quality legal services.

KEY RESPONSIBILITES

  • Manage the administrative functions of the Firm, including billing
  • Supervise administrative staff
  • Support staffing efforts, hiring, training, and performance management
  • Update and maintain all internal procedures to ensure consistent support throughout the Firm
  • Lead the day-to-day business operations to ensure smooth, cost-effective functioning of the Firm’s administrative structure
  • Uphold all Firm values and standards and monitor operational initiatives for performance and efficiency
  • Oversee HR administrative operations including onboarding, benefits administration, and maintaining relevant documents
  • Assist attorneys with administrative duties related to workflow management
  • Oversee facilities, office space planning, equipment procurement, supply ordering, and maintenance for all office locations
  • Act as internal liaison with IT providers to ensure continuity, security, and efficiency of systems
  • Review and negotiate service agreements with vendors/suppliers, and be responsible for paying invoices
  • Identify cost-saving opportunities without compromising quality
  • Ensure that all attorneys receive consistent, timely, and high-quality support from all administrative personnel
  • Be the steward of BLLLP culture

EXPERIENCE

  • Minimum of 5 years’ experience in a leadership/management position
  • Minimum of 8 years’ experience working in a law firm
  • Experience with managing HR administration
  • Competence with all Microsoft applications such as Word, Excel, Teams, and Outlook
  • Familiarity with law firm case management and document management software (experience with Clio, NetDocuments, and Lawmatics preferred)
  • Experience with billing processes
  • Strong working knowledge of intake process best practices

EDUCATION

  • Bachelor’s Degree
  • CLM designation a plus 

HOURS & COMPENSATION:

This is an in-person position, reporting to the office in NYC or NJ M-F from 9-5. There may be some flexibility available on Fridays to work remotely.

Book Law LLP offers a competitive compensation package commensurate with experience, along with health insurance, PTO, and performance-based incentives.

SALARY RANGE: $95,000-$110,000
