Law Office Manager

Downtown firm located in the Financial District of Manhattan, with two additional offices in New Jersey, is in need of an experienced law office manager who possesses the following skills and talent:

Human Resources: Candidate will be responsible to supervise non-legal staff; recruit applicants and orient new hires across the board; manage workloads and overtime; define and recognize performance or behavior problems and provide counseling and discipline; make recommendations regarding compensation and appropriateness and justification of staffing positions; manage all benefits, including administering the Firm’s pension plan, health plans, transit plan and employee savings accounts. The Office Manager is responsible for managing PTO and maintaining and processing payroll through iSolved, an online human capital vendor.

IT/Network: Candidate will be the first level of support for users in all locations. Firm outsources its IT services; however, the office manager resolves common user issues, manages user and vendor expectations and the flow of service tickets and works in close conjunction with the vendor as it relates to service and hardware. This is a very large part of the office manager’s day.

Finance: Bookkeeping using Quickbooks; work in conjunction with the outside accounting firm; oversee billing manager and all reporting functions; manage closely the firm’s AP and AR; oversee several bank accounts and maintain excellent working relationships with bank managers. The Firm is currently undergoing the transition of its accounting and time & billing applications from Quickbooks and Aderant Expert to Aderant Sierra.

Facilities: Maintain excellent liaise with all building management; manage moves and construction including procuring all services, furnishings, installers, etc. Manage the Firm’s telephone system in conjunction with the outsourced vendor.

Office Administration: Direct support functions regarding secretarial, reception and accounting; research and advise Managing Partner regarding acquisition, disposition, safeguarding and pricing of all office and computer equipment, furniture and incidental needs of employees, and discuss items of importance as necessary with the Managing Partner. Research, make recommendations and manage the implementation of new software applications. Maintain internal controls and direct the day-to-day operational, activities of the firm. Contribute to the Marketing Department and local office marketing liaisons. Plan all Firm events with creative fresh ideas.

The Office Manager should possess a minimum of 10 years of management experience; law firm experience preferred; should possess strong IT skills, good basic accounting practices and be extremely detail oriented. Some travel to New Jersey offices in Morristown and Red Bank will be expected. The job description may be changed from time to time and the candidate should be flexible and welcome change.
